POSITION TITLE: Administrator

CLASSIFICATION: Hourly, Part-Time COMPENSATION: $24 / Hour

REPORTS TO: Board of Trustees

POSITION SUMMARY:
The Grosse Pointe Foundation for Public Education (GPFPE) Administrator is responsible for
planning and coordinating operational aspects, accounting, fundraising, and communications
with Grosse Pointe Public School System (GPPSS), including financial management, CRM
software, creation of new partnerships, selected special events, cultivation of relationships with
administrators, teachers, and community partners for the GPFPE.
DUTIES & RESPONSIBILITIES:
• Develop and manage administrative tasks related to fundraising, annual, major and
planned giving, grants, fundraising events, database and donor acknowledgment
oversight, and recurring sources of financial support.
• Execute annual appeal program and manage solicitations and acknowledgments.
• Ongoing stewardship of all donors, including responsibility for major donor recognition.
• Participate and represent the GPFPE, along with Board and staff leadership, in the
development and communication of the GPFPE to stakeholders.
• As a member of the GPFPE team, participate and assist in special programs, events,
projects, and activities as needed.
• Handle GPFPE correspondence and communicate in a professional manner.
• Organize and share agenda, minutes, and other necessary information with the Board
monthly.
• Take Board meeting minutes.
DONOR DATABASE AND ADMINISTRATIVE RESPONSIBILITIES:
• Manage all donor data and donor management software (DonorPerfect) and other
applications (Excel, Word, etc.) and website (JotForm, MailChimp, Etc.), communicate
development campaigns, and execute fundraisers.
• Ensure software is updated, data is consistent, and security protocol in place with
backups as needed.

GPPSS COLLABORATION:
• Work collaboratively with school administrators, teachers, and other community groups
to communicate grants and grant opportunities and implementation.
• Communicate grants cycle to teachers and administrators and collect submitted grants
for committee review.
• Track grant submissions and notify submitters of the status of the grant in a timely way.
• Oversee financial process for grants including purchase orders, invoicing, record keeping
and accounting.
FINANCIAL RELATED TASKS:
• Maintain and balance in QuickBooks and DonorPerfect, track and run reports as needed.
• Prepare financial reports for monthly board meetings.
• Assist in Annual Audit and work with the Treasurer to respond to financial questions.
• Make deposits and write checks from GPFPE bank accounts.
• Balance restricted funds and run reports for Treasurer.
KNOWLEDGE, SKILLS & ABILITIES:
• Bachelor’s degree and experience in a volunteer or professional capacity in
development and fundraising while meeting fundraising goals.
• Accounting aptitude and familiarity with accounting principles.
• Creativity and flexibility to work in an environment undergoing significant growth and
change.
• Collaborative and inclusive “team player” nature.
• Confident and professional demeanor, including being comfortable interacting with
senior business and community leaders.
• Some familiarity with the educational sector and familiarity with GPPSS a plus.
• Outstanding written and interpersonal communication skills. Attention to detail and the
ability to take initiative and work independently are critical.
• Familiarity and comfort with social media and other digital tools.
• Understanding of nonprofit development processes and principles.
• Ability to function effectively as administrator to set and evaluate goals, resolve
problems, and make decisions.
• Ability to work well under pressure, meet objectives, and be flexible in a changing and
growing organization.
• Ability to effectively manage donor management systems and common applications
such as DonorPerfect, QuickBooks, Word/Excel, social media applications (Facebook,
Instagram, Twitter, etc.), and other marketing platforms such as Constant Contact or
Mailchimp.
WORKING LOCATION & SCHEDULE:
• This role will primarily be in-person. This role requires attendance at on-site events and
meetings as scheduled.
• Some limited evening and weekend work may be required.

COMPENSATION:
This is a part-time (20-24 hours per week), hourly pay, year-round position with some variation
for school year. This position is not eligible for overtime pay.
